The challenge

The organization faced the critical challenge of transitioning away from their Association Online platform, which is being phased out by parent company IMIS. THANZ needed to identify a cost-effective association management platform that could not only meet their current operational requirements but also support their future ambitions.

The new platform needed to streamline and enhance several core functions, including:

  • Membership Management: Accommodating recently updated membership categories, automating membership reminder emails, processing online payments via AusPost Secure Pay, and enabling members to self-serve for updating personal details.
  • Email Communication: Facilitating targeted email campaigns to specific member segments for official communications (e.g., AGM notices), quarterly newsletters, and event promotions, including webinars and workshops.
  • Event Management: Supporting the organization’s plans to host a range of events, including paid scientific meetings and workshops, with a seamless registration process.
  • Content Management: Providing tools to manage public and members-only content, such as promoting awards, funding opportunities, and sharing event recordings.

The challenge wasn’t just about replacing the platform but finding a solution that could improve operational efficiency, reduce costs, and future-proof THANZ’s ability to serve its members effectively.

The approach

To address the challenges faced by THANZ and ensure a seamless transition from Association Online, we selected a WordPress platform integrated with MemberPress for robust membership management. The solution also incorporated Mailchimp for streamlined email communication and Stripe as the payment gateway to facilitate secure and efficient transactions.

To support THANZ’s event management needs, we implemented a dedicated events software, allowing the organization to efficiently handle event registration, payments, and communication.

The platform was designed to include:

  • Member-Restricted Content: Providing tailored access to resources based on membership levels.
  • Community Forums: Enabling members to engage and collaborate within a private, secure environment.
  • Custom User Roles: Supporting advanced workflows and permissions for access to restricted content and forum access.
  • Advanced Forms: Simplifying member signups with conditional logic, eliminating the risk of incorrect package selections and ensuring smooth onboarding.
